Dashboard Elements

Jobs Today Button

Shows how many jobs are scheduled for today. Click it to go directly to your Jobs page.

All-time Revenue

Total amount from all paid invoices. This updates automatically when you mark invoices as paid.

SMS Usage

Shows your remaining SMS credits. SMS is used to send quotes, reminders, and notifications to customers.

Active Customers

Number of customers with ongoing jobs (not yet completed/paid).

New Customers

Customers added this month.

Company Profile Card

Quick view of your company details. Click "Edit Profile" to update your information.

Today Section

Shows jobs requiring action today. Split into:

  • On-Site: Jobs you need to physically attend (scheduled services)
  • Admin: Jobs needing office work (sending quotes, creating invoices, follow-ups)

Calendar

Visual overview of your scheduled jobs. Purple numbers show how many jobs are on each day. Click any date to see jobs scheduled for that day.

All Jobs

Complete list of all your jobs. Use the search bar to find jobs by address, client name, or phone number.

βž• Creating a New Job

Creating a job is quick and easy. Here's the step-by-step process:

  1. Go to Jobs Page From your Dashboard, click the "Jobs Today" button or use the navigation menu to go to Jobs.
  2. Click "+ New Job" Click the purple "+ New Job" button in the top right corner.
  3. Enter Property Address Start typing the address. Suggestions will appear - select the correct one. This is used for the aerial mapping feature.
  4. Add Client Details Enter the client's first name (required), last name, email, and phone number.
  5. Add Notes (Optional) Add any special instructions like "Use side gate" or "Dog on property".
  6. Click "Create Job" The job is created and you'll be taken to the quote creation page automatically.
ℹ️ What happens next?

After creating a job, you're automatically taken to the quote creation page where you can measure the property and set pricing.

πŸ“ Creating Quotes with AI Measurement

Deep Edge uses aerial imagery to help you measure lawns accurately and create professional quotes.

Using the Aerial Map

  1. View the Property The map shows an aerial view of the property address. Use the zoom controls or pinch to zoom on mobile.
  2. Draw the Lawn Area Click/tap to start drawing around the lawn area. Add points by clicking, and close the shape by clicking the first point or double-clicking.
  3. Check the Measurement The total area in mΒ² appears automatically. Your pricing (from Profile settings) calculates the quote amount.
  4. Choose Mower Type Select Push Mower or Ride-on Mower. This affects the price based on your configured rates.
  5. Add Add-ons (Optional) Select any extra services like hedge trimming, weed spraying, or fertiliser application.
  6. Set Job Frequency Choose if this is a one-off job or recurring (weekly, fortnightly, monthly).
  7. Save Quote Click "Save Quote" to create the quote. You'll return to the Jobs page.

Draw around the ENTIRE mowable area. Exclude garden beds, paths, and structures. The more accurate your drawing, the more accurate your quote. You can draw multiple zones if needed.

Sending Quotes to Clients

After creating a quote, the job status becomes "Quote Created". To send it:

  1. Find the Job The job appears in your Jobs list with status "Quote Created".
  2. Click "Send Quote" Click the green "Send Quote" button on the job card.
  3. Choose Send Method Select from Email, SMS, or Copy to Clipboard. Email and SMS send automatically. Clipboard lets you paste the link wherever you want.

Clients receive a professional quote page showing the property map, itemized pricing, and an accept button. They can view and accept quotes on any device.

When a Client Accepts

After sending a quote, wait for the client to accept. When they do:

  1. Schedule the Service Click "Schedule Service" on the job card. Choose the date and any recurrence pattern.
  2. Job Appears in Calendar The scheduled job shows up on your calendar for the selected date.

On the Day of Service

  1. Check Today's Jobs Open the Jobs page - your scheduled jobs appear in the "Today" section under "On-Site".
  2. Start the Job When you arrive at the property, click "Start Job". This logs the start time.
  3. Complete the Job When finished, click "Complete Job". The job moves to "Completed" status.

Recurring Jobs

For weekly, fortnightly, or monthly clients:

  • After marking a recurring job as Paid, click "Schedule Next Visit"
  • The next service date is calculated automatically based on the recurrence
  • The job reappears in your calendar for the next scheduled date

When you have multiple jobs today, click "Route in Apple Maps" to open directions to all locations in order.

πŸ’° Creating and Sending Invoices

After completing a job, you'll create an invoice based on the original quote.

Creating an Invoice

  1. Complete the Job First Make sure the job status is "Completed" before creating an invoice.
  2. Click "Create Invoice" Click the green button on the completed job card.
  3. Select the Quote Choose which quote to base the invoice on (usually there's only one).
  4. Set Invoice Details
    • Invoice Number: Auto-generated or enter custom
    • Issue Date: Today by default
    • Due Date: Based on payment terms
    • Payment Terms: 7 days, 14 days, 20th of next month, or custom
    • Notes: Add bank account details or payment instructions
  5. Generate Invoice Click "Generate Invoice" to create and send.

Marking as Paid

When the client pays:

  1. Find the Invoiced Job Look for jobs with "Invoiced" status.
  2. Click "Mark Paid" Click the green button to confirm payment received.
  3. Job Complete! The job moves to "Paid" status. Revenue is added to your total.
⚠️ Important

Always mark jobs as Paid when payment is received. This keeps your revenue tracking accurate and helps with end-of-year accounting.

  • Company Name: Appears on quotes and invoices

Set your rates for automatic quote calculations:

Push Mower Pricing

  • mΒ² per hour: How many square meters you can mow per hour (e.g., 1000)
  • Charge Out Rate: Your hourly rate (e.g., $85/hour)
  • Hourly Expenses: Fuel, wear, etc. (e.g., $15/hour)

Ride-on Mower Pricing

  • mΒ² per hour: Higher for ride-on (e.g., 4000)
  • Charge Out Rate: Usually higher (e.g., $120/hour)
  • Hourly Expenses: Higher operating costs (e.g., $35/hour)

Company Add-Ons

Create custom services that can be added to quotes:

  • Name: e.g., "Edge Trimming", "Hedge Clipping"

The aerial map isn't loading +
  • Check your internet connection
  • Try refreshing the page
  • Make sure the address was entered correctly
  • Some rural areas may have limited satellite imagery
My quote price seems wrong +
  • Check your pricing is set correctly in Profile settings
  • Verify you selected the correct mower type (push vs ride-on)

SMS or email isn't sending +
  • Check that the client has a valid phone/email entered

  • Jobs only show in calendar once scheduled with a date
  • Check you're viewing the correct month

I accidentally deleted a job +

Unfortunately, deleted jobs cannot be recovered. Contact support if you need help recreating an important job's details.

How accurate is the AI measurement? +
The aerial imagery is high-resolution and measurements are typically within 5% accuracy. For best results, draw carefully around lawn edges and exclude non-grass areas.
Can clients accept quotes online? +
Yes! When you send a quote link, clients can view the quote and accept it online. You'll see the job status change to "Job Won" when they accept.
How do recurring jobs work? +
When creating a quote, set the frequency to Weekly, Fortnightly, or Monthly. After completing and getting paid for each service, click "Schedule Next Visit" to set up the next occurrence.
Do I need to be GST registered? +
No. If you're not GST registered, simply leave the GST Number field blank. Quotes and invoices will show prices without GST breakdown.
Can I use Deep Edge on my phone? +
Absolutely! Deep Edge is fully responsive and works great on phones and tablets. Many users do all their work from their phone while on the road.
How do I change a quote after sending it? +
Click the β‹― menu on the job card and select "Edit Quote". Make your changes and save. You can resend the updated quote to the client.
